Receptionist / Administrative Assistant – Job Description

About the Position: The Receptionist / Administrative Assistant Position will help execute various essential office and administrative duties needed to deliver high quality work with a focus on client experience and top-notch customer service. We are looking for an organized and detail-oriented individual who is efficient, adept with software, and works well with others. This position is client-facing and serves as the welcoming face of our company, embodying professionalism and ensuring positive experiences for all visitors and callers. The ability to multi-task, provide high-quality work in a timely manner, and remain composed is key to success in this position.

 

Objectives of this Role:

  • Provide exceptional client service and efficient office operations.
  • Establish and maintain excellent relationships with clients, partners, and staff.

Responsibilities: 

The following is a general listing of the various categories of responsibility of this position.

  • Answer phones, faxes, and client emails professionally, providing information and resolving inquiries as needed
  • Greet clients and visitors warmly, determine the purpose of their call or visit, and direct them to the appropriate person
  • Resolve issues promptly and courteously, prioritizing a commitment to excellent customer service
  • Receive, sort, and distribute daily mail/deliveries
  • Schedule client appointments for partners and staff
  • Field and respond to prospective client inquiries
  • Coordinate with new clients and staff in creating new client files using firm software
  • Coordinate receipt and delivery of client documents between clients and staff
  • Scan documents and process tax return projects in practice management software
  • Assemble and deliver tax returns to clients
  • Prepare customer invoices upon request
  • Order office supplies as directed
  • Plan and execute company-wide events, such as client events or staff events
  • Maintain confidentiality of sensitive information and adhere to company policies and procedures with respect to privacy and protection of personal information
  • Work collaboratively with other administrative staff to ensure efficient operations.
  • Contribute to a positive and collaborative work environment, supporting team members and fostering a culture of professionalism and excellence in customer service.

  • Ability to work independently and in a team environment
  • Strong technology skills and proficient in Adobe Acrobat and Microsoft Office Suite, especially Word, Excel and Outlook

Salary: $23 – $26 per hour commensurate with experience.

Preferred Qualifications:

  • At least 2 years’ experience of customer service in a client-facing role.
  • Previous CPA or professional services firm experience is a plus.

Schedule:

  • Standard business hours in the office Monday thru Friday.
  • Remote work available when office is closed for weather or unforeseen circumstances.
  • Longer hours & weekend availability from January through April is required.
  • The office is closed on Fridays from April 15th through Memorial Day and on other occasions as determined by firm leadership.

Education Requirements:

  • High school degree or equivalent
  • Associate degree preferred
